How to write an email with AI

An AI email writer drafts an email for you from a short description. This one gives you two drafts, each with a subject line, for free and without an account.

  1. In Email topic, say in one sentence what the email is for. For example: "Remind a client that their invoice is overdue."
  2. In Details, give the facts the email must contain: names, numbers, dates, and what you want the reader to do. The AI only knows what you type, so this is where a good draft comes from. Then pick a Tone and a Writing style.
  3. Click Generate emails, then use Copy for the subject line and Copy email for the text. Click again for two new drafts.

Example

What we typed. Topic: "Remind a client that their invoice is overdue". Details: "Invoice 1042 for $450 was due on September 30. Ask her to pay this week, or to tell me if something is wrong with the invoice." Tone: Serious. Style: Casual.

Subject: Friendly Reminder: Overdue Invoice #1042

Hi [Client's Name],

I hope this message finds you well. I wanted to take a moment to remind you that Invoice #1042 for $450, which was due on September 30, is still outstanding.

If you could take care of this by the end of the week, I would greatly appreciate it. However, if there’s any issue with the invoice or if you have any questions, please don't hesitate to let me know.

Thank you for your attention to this matter!

Best, [Your Name] [Your Position] [Your Company] [Your Contact Information]

One of the two drafts the tool wrote for this input. Your drafts will differ, because the AI writes new ones each time. Before sending this one, we would cut "I hope this message finds you well.", take "Friendly" out of the subject, and fill in or delete the lines in brackets. We made 12 drafts while writing this page, and 11 opened with a line like that one.

Send it to a whole list from Gmail

To send this reminder to every client with an unpaid invoice, each with their own name, invoice number, amount and due date, use a mail merge. With YAMM, it takes four steps in Gmail and Google Sheets:

  1. Install YAMM in your Google account, if you haven't yet.
  2. Paste the draft into a new Gmail draft. Replace each detail that changes from client to client with a marker: [Client's Name] becomes {{First name}}, 1042 becomes {{Invoice}}, $450 becomes {{Amount}} and September 30 becomes {{Due date}}. Markers work in the subject line too.
  3. In a Google Sheet, put one client per row. Add a column of email addresses, and one column for each marker, with the marker's name as its header: First name, Invoice, Amount and Due date.
  4. In the sheet, select Extensions > Yet Another Mail Merge: Mail Merge for Gmail > Start Mail Merge and pick your draft.

YAMM sends each person their own copy from your Gmail account and writes opens, clicks and replies back to the sheet. Follow the step-by-step mail merge guide to send your first one.

Questions about the AI Email Writer

Can it write emails in other languages?

Yes. Type the topic and details in your language, and the drafts come back in it. When we typed them in Spanish, both drafts and their subject lines were in Spanish.

What happens to my drafts when I click Generate emails again?

Two new drafts replace them, so copy the one you like before you click again.
